Operations Specialist

Title: 852 Operations Specialist

Reports to: Head, Material Science and Applications Development

PRINCIPAL RESPONSIBILITIES
Ambitious, mission driven, creative problem solver to oversee inventory management, order fulfillment, and shipping responsibilities for our 852 formulations facility. This role collaborates closely with the Material Science & Business development teams and is responsible for executing customer orders, completing order fulfillment, overseeing shipping, managing inventory & supporting the needs of the lab. In addition, this position will cross train to support the WNDR fulfillment team during peak periods.

KEY RESPONSIBILITIES
Inventory Management
● Point person for receiving, tracking, and storing incoming deliveries of materials and purchases
● Receive and process returns
● Organize and oversee appropriate purchase and storage of material, chemicals, containers, and material science team’s laboratory consumables
● Maintain accurate and up to date inventory reports for finished product, raw materials, shipping containers, as well as laboratory consumables
● Anticipate raw material and consumable needs; manage advanced purchasing accordingly
● Conduct cycle counts, and assist with corporate inventory counts
● Report any inventory discrepancies to manager
● Maintain an organized, clean, and safe environment

Order Fulfillment
● Receive and fulfill orders in a timely, efficient, and accurate manner
● Collaborate with material science, regulatory, and sales teams to ensure excellent customer communication around shipping dates and details, paperwork and expected delivery dates
● Own all aspects of formulation / material packaging and shipping preparation of customer orders; check orders for accuracy/completeness
● Point of contact for parcel carriers USPS, UPS, FEDEX via ship software Starship and responsible for communicating shipping information to customers and internal team
● Organize pallets, docs and pick-ups for LTL, and international freight forwarders
● Accurately track shipments and inform customers of their order status; quickly resolve any shipping issues and communicate same to customers and internal departments
● Assist customers with questions regarding their orders, including resolving customer complaints regarding returns/order errors/shipping delays
● Provide accounting necessary paperwork and information for timely payment
● Maintain high level of customer service and professionalism at all times

Formulation Support
● Provide support to material science formulation team in mixing sample formulations
● Assist in creating coupons and material under the supervision of the manager as needed
● Work with manager to fill appropriate containers with formulations
● Oversee daily and weekly clean up of work spaces in the facility WNDR Fulfillment Cross Training and Support
● Cross train with WNDR Fulfillment team
● Provide support to WNDR during peak holiday periods
● Train WNDR Fulfillment specialist in 852 formulations facility Standard Operating Procedures
● Work as a team-player and support teams to get the job done, whatever that job may be

KEY REQUIREMENTS
● Excellent attention to detail and a high level of accuracy
● Ability to keep clear and accurate records
● Strong verbal and written communication skills with both customers and team members
● Customer-centric approach with proven experience with order fulfillment and/or customer service
● Collaborative team player who is also an independent thinker
● Self-starter who thrives and can multitask in fast-paced and often ambiguous environments
● A proactive approach to problem-solving with strong judgment and work ethic
● NetSuite experience preferred
● Ability to lift 50 lbs
● Forklift experience preferred
